Mar Sleeva Medicity, located in the picturesque Kottayam district of Kerala, is a world-class quaternary care center, renowned for its dedication to providing top-tier healthcare. As a 750-bed hospital, Mar Sleeva Medicity houses 44 specialized medical disciplines, employs 188 highly skilled doctors, and is supported by 819 nursing and paramedical staff. Ambition made it imperative for Mar Sleeva to choose a robust and state-of-the-art HMIS solution which would meet their ambitious growth plan and achieve operational excellence.

It was while Mar Sleeva Medicity was being established that the challenge had been explicitly laid before us at SmartHMS: to design and develop a comprehensive technological solution that would satisfactorily cater to the various and constantly changing needs of a modern multi-specialty hospital. Our SMART HMIS software was selected for the purpose. The modularity flexibility of the system can be adapted to Mar Sleeva. SMARTHMS integrates different departments and ensures that its facilities become fluid; it gives the organization an advanced environment, paperless, and automated across its facilities.

Right from its inception, Mar Sleeva Medicity was visualized as a world-class wellness centre which did not only come to the doorstep of guests with hospitality and welcome but was also very affordable for all while maintaining the highest standard of professional competence. The Journey of Implementation: Custom Solutions for Mar Sleeva Medicity

We worked with the hospital management from day one to understand their specific needs and outline every minute detail related to implementation. At the outset, the approach toward implementation of the SMARTHMIS system was maintained on prominent focus areas that would empower the hospital to function efficiently and offer outstanding care to the patients while maintaining the complications of a large, multi-specialty healthcare environment.

A core aspect of the deployment was mobility. Right from the beginning, we had developed a solution for access to critical patient information, workflow management, and for staying connected by hospital staff and doctors while on the move. So we carried a full-fledged mobile application along with the web portal to ensure that the staff and even the patients could engage with the hospital systems quite fluidly.

Indeed, integration of the various departments and technologies also gave rise to mobility. We used a 360-degree integration approach wherein the SMART HMIS system would practically work with mobile applications, token calling systems, and TV-out displays and kiosks. With the use of a 360-degree integration approach, the pathway for the patient is streamlined as much as possible-from admission up to discharge; it powered a fully automated environment within the hospital. These integration also helped in improving the operational efficiency of the hospital and thus reducing the waiting time and streamlining patient flow management.

One of the great implementation milestones was the implementation of the CPOE module. A flagship feature of SMARTHMIS, the CPOE module allowed digit entry of physician-generated medical orders, prescriptions, and treatment plans directly through the computer, thereby eliminating potential errors and increasing precision. This would lead the inpatient department of the hospital to be one of the first to be developed for a paperless system.

Advanced Technologies and Custom Solutions

To further customize the system to Mar Sleeva's specifications, we developed and rolled out advanced algorithms that would help handle unique issues with the hospital. These allowed proper efficient handling of complex workflows, patient data management, and proper coordination of departments in a manner that the running of the hospital was very smooth. To implement the goal of paperless environment, the inpatient department was started and scaled out slowly to other departments.

The IT team that was part of the implementation at Mar Sleeva Medicity, which constituted people from other industries, played a very critical role in the process of implementation. As a new hospital, they needed as much orientation as required to be functional SMART HMIS experts. We ensured the IT team were adequately empowered to manage the system and troubleshoot any issue arising thereafter and continue to provide support to its hospital staff.

Infrastructurally, the hyper-converged infrastructure has been used in the implementation of SMART HMIS. This ensures scalability, flexibility, and ease with regard to management capabilities. This innovative approach was sure to have its technology infrastructure expand in tandem with the needs of the hospital, thereby creating a solid foundation for years to come.

Total End-to-End Integration to Enhance a Fully Automated Experience

SMARTHMIS enabled end-to-end integration with most departments and systems within the hospital. These include all kiosks, queue management systems, over 30 laboratory machines, and Picture Archiving and Communication Systems (PACS). With such an extensive integration, it was also necessary for managing high patient volumes in the hospital with efficient work in all departments.

Following the roll-out, SMART HMIS was completely deployed by the hospital to achieve its full potential as an automated solution. Thus, two years into its operations, Mar Sleeva Medicity was capable of handling over 1,500 patients every day, a testament to the efficiency and scalability of the system. This would enable the SMART HMIS system to institute best practices, simplification of workflows, and high levels of automation in the processes.
