IQRAA International Hospital & Research Centre

IQRAA International Hospital & Research Centre is one of the major healthcare institutions of its kind, with a total bed strength of 430 beds; a multi-specialty NABH & NABL accredited Group of Hospitals based at Kozhikode, Kerala. Known for excellence in providing healthcare, IQRAA is well-equipped with its high-tech facilities to ensure the best medical care through various specialties. The 11 Community Hospitals and community clinics strategically located in the districts of Kozhikode, Malappuram, Wayanad, and Idukki spread the vision of this hospital beyond Kozhikode. These centres provide quality health care to patients located in the rural and semi urban areas, all under the umbrella of accessible health care as a mission for the organisation.

IQRAA operates with its core identity being innovation, care for patients, and efficiency of process. For the rising challenges in healthcare management with such an expansive network, IQRAA collaborated with SMARTHMS Solutions for implementing cutting edge technological solutions for Hospital Management Solutions. We feel privileged to have been entrusted with the task of providing an all-around HMIS solution to the IQRAA group of hospitals in line with their core organisational goals and operational demands. Our product suite, SMARTHMIS, has been specific in nature and designed and developed to support the complexities within their healthcare network.

A Thriving Partnership

It all began with the IQRAA group in the year 2018. The hospital of that group was looking for a partnership that, in addition to a robust software solution, would support it in navigating the details of the intricate digital transformation. From the very beginning, it was clear that the challenges in question were to be supported by a software suite capable of scaling up the increasing needs of the organization without showing constraint in its reliability or the care of the patient. Over the years, it has thrived with SMART HMIS proving to be an ideal solution, used by 140 doctors and 1637 nursing and paramedical staff in managing a large-scale operation with more than 2500 outpatients daily. This not only proves that our software is scalable but also the fact that IQRAA believes in our hands for managing their critical data and workflows of healthcare.

Centralization and Data Integration:

In our first engagement, IQRAA operated on three branches and wanted to expand their network while centralising the management of branches. The most prominent challenge that IQRAA had to overcome was integrating systems, laboratories, and medical devices into a single system. This step is very important because their branches and clinics need to function smoothly under a centralised system without losing its operating autonomy.

Another highly crucial work involved the e-transformation of 10 years of legacy data—both clinical and non-clinical—into the new system. Not only was it about getting the data correctly transferred but also free of any errors in the transfer. For a hospital system, dealing with thousands of patients each day, one small glitch in data management could create havoc with patient care. The project demanded precision, expertise, and deep comprehension of handling healthcare data.

The SMARTHMS Solution

To meet these needs, SMARTHMS launched SMART HMIS-a high-powered hospital management solution for multi-branch operations. Our system was in line with IQRAA's intended objectives of making centralised operations on their three branches initially and ready for later expansion. SMARTHMIS was engineered to host a branch architecture allowing for centralised data management while remaining positioned to support the local operations at each branch.

A notable characteristic of this project was the smooth and error-free migration of 10 years of clinical and non-clinical data into the new system. This resulted in a smooth and hassle-free Go-Live process. We worked closely with the leadership team at IQRAA to ensure that the software met their specific operational needs and coordinated cohesively with the rest of the existing systems, from the labs to the medical devices and clinical workflows of the organization.

Training and Implementation

A successful digital transformation project is only as effective as the people using it. Recognizing this, we conducted thorough training programs with IQRAA's staff. During the implementation, we trained 120 doctors and more than 1,500 employees to ensure that every team member was trained and conversant with the system to get the best out of it. These training sessions covered everything from patient management, billing, device integration, to data analysis as well to ensure that there would be an easy and efficient switch into the new system.

The Go-Live process was, in itself, an epitomization of meticulous planning and execution carried out by our team. IQRAA's system was rolled out without any instance of roll-back of the old system-the migration of data and processes went off without any hitch. Daily outpatient visits were managed through the new system as many as 2500, a testament to the robustness and scalability of SMARTHMIS.

Growth and Expansion

The success of the initial implementation was but the starting point for IQRAA in its subsequent journey with SMARTHMS. It set about an ambitious expansion plan in realizing the benefits to be derived from a centralized, branch-architecture-based system. They continued to add 13 more branches on top of their core gradually, and it worked out to a peak figure of about 5000 outpatient visits each day. It is easy to see how new branches could simply be added to such a system, sending robust, loud, and clear messages about the flexibility and scalability of SMARTHMIS. Our team has always proven the fact that with the introduction of a new branch, we can integrate it into the system within less than 24 hours with minor effects to operations and patient care.
